Hours: 0.6 FTE / 3 days per week, flexible working available however Wednesday afternoons is a core time for BE wide meetings.

Pay: “Head of” band £42,394 FTE, pro rata £25,436.40 

Contract type: Fixed term, maternity cover starting December 2024, running until November 2025, with a possibility of month by month extensions thereafter

Our Ideal Candidate

This role is responsible for the implementation and oversight of all internal operations appropriate for a small charity.

Our ideal candidate will be process-driven and work in a methodical manner. They will be able to ensure that the organisation’s internal development projects are well mapped out, delegated and progress in line with timelines. As part of the senior management team, they will bring structure & organisation to the team, learning how to implement and adapt processes to work with the different requirements of our projects. They will be a strong communicator, and capable of teaching various stakeholders how to work within new organisational frameworks. They will be able to use reporting structures and feedback mechanisms to ensure effective operations. However, they will be able to tailor these appropriately to the time resource available to our team. They will be an effective communicator in team meetings.

Responsibilities

  • Internal Operations management
    • Decision making, insight & management of all activities using Trello
    • Delegation & collaboration with Executive Assistant on Internal Operations related work (Internal Comms, Policy administration, IT Support)
    • Ensuring smooth running of the following areas;
      • Internal Communications
      • Reporting
      • CRM (Salesforce)
      • IT Support
      • Policy
      • Procedure
        • GDPR
        • Health & Safety
        • Safeguarding
        • Staff Wellbeing
  • Reporting
    • Preparing departmental reporting dashboards (google sheets)
    • Supporting department managers to set up data collection for feeding in to reporting dashboards
    • Attendance at monthly Finance meetings
    • Updating monthly dashboards with finance data
    • Monthly meetings with Department Managers/Heads of departments (x6) focused upon KPIs across finance, reach and quality.
  • CRM (Salesforce)
    • General Salesforce administration
    • Collaborating with all departments to ensure user needs are met
    • Modifying salesforce system to meet user needs
    • Setting up reports
    • Setting up dashboards
    • Training & ongoing support of salesforce users
    • Monthly housekeeping & support meetings with each department
  • Policy
    • Creation and maintenance of Policy creation & update process
    • Monthly policy work planning with executive assistant
    • Management of controlled documents
    • Creation of new policies
    • Update of existing policies
    • Training staff on policies
  • Procedure
    • Creation and maintenance of procedures based on policy requirements
    • Training staff on procedures
    • Delegation & accountability of staff holding actions
    • Domestic Abuse Procedure
      • Monitoring of the Support Request form
    • Additional responsibilities as required.
      • Improving procedures & ensuring all policies have adequate procedures to support them is a key area of improvement within Internal Operations, and additional procedure responsibilities will arise as policies move through the update process.
  • Meetings & general staff responsibilities
    • Attendance at weekly casual social drop-ins (optional)
    • Attendance at All Staff meetings (monthly)
    • Attendance at Senior Staff meeting (monthly/quarterly)
    • Attendance at Trustee meeting as requested by Managing Director
